By purchasing tickets for an event at Sinfonia Smith Square (through our Box Office or this website) you are agreeing to the following Terms & Conditions:
General
It is the responsibility of the customer to check booking details before making payment. Once a booking is confirmed it may not be possible to make changes.
All ticket prices are subject to change at any time. We reserve the right to offer discounts or introduce special offers which may be limited or only applicable for selected criteria and which cannot be applied retrospectively.
All tickets booked online must be paid for in full at the time of booking.
Sinfonia Smith Square tickets must not be re-sold for profit or commercial gain. Tickets will become void if this is found to be the case.
Children under 24 months old will be admitted free of charge but must be seated on the lap of any accompanying adult. Children over the age of 2 shall require a ticket.
Tickets purchased via Sinfonia Smith Square to performances at other venues may be subject to other /additional terms than the ones stated above.
Ticket Offers and Promotions
All offers are subject to the discretion of Sinfonia Smith Square.
All discounts are subject to availability and may not be combined.
Sinfonia Smith Square reserves the right to remove access to offers at any time.
Proof of ID may be required for discounts to be honoured.
Booking Fees
Please note that booking fees are non-refundable.
Exchanges / Refunds / Cancellations
Once purchased, tickets are non-refundable. The Box Office is unable to offer refunds for tickets that are unused. Refunds are only possible in the event of a cancellation.
Sinfonia Smith Square accepts no responsibility for any loss due to cancellations or changes to events.
At the discretion of Sinfonia Smith Square, tickets may be exchanged for another event (subject to availability) or credit to a customer’s Sinfonia Smith Square account, up to 48 hours before an event/performance.
An administrative fee of £2 is charged per order for this service (fee waived for Sinfonia Smith Square members).
Any credit applied to a customer account is valid for 12 months from the date of issue, and cannot be extended once expired.
Sinfonia Smith Square staff are here to enhance your experience and to ensure your safety at all times. Please follow any guidance they give in relation to your and others’ comfort and safety.
A valid ticket must be produced to gain admission into a ticketed event.
The taking of photographs, capturing of images or the use of any recording devices including mobile phones during any performance is strictly prohibited.
Sinfonia Smith Square or any permitted third parties may carry out photography/film and sound recording in or around the venue. By purchasing tickets you consent to you and your party being included in and to the exploitation of such films and recordings without payment.
Sinfonia Smith Square accepts no responsibility for any personal items brought into the venue.
The Management of Sinfonia Smith Square reserves the right to:
- Refuse any ticket holder admission to the venue.
- Provide alternative seats to those on the ticket.
- Request any ticket holder to leave the venue, and take appropriate action to enforce this right.
- Change the advertised arrangements of any performance in the event of illness or any cause beyond the control of the management.
- For security reasons, carry out a search of bags as a condition of entry.
- Cancel or abandon the performance or event for reasons beyond its control without notice.
Latecomers
If you arrive late for the start of a performance we appreciate that you will want to take your seat as soon as possible. We will do everything possible to assist. To limit disturbance to fellow audience members and artists we may have to ask you to wait until a suitable break in the performance. Occasionally this may not be possible once the performance has started.
At Sinfonia Smith Square we are committed to protecting your personal information and being transparent about what information we hold about you.
Using personal information allows us to develop a better understanding of our patrons and in turn to provide you with relevant and timely information about the work that we do. As a charity, it also helps us to engage with potential donors and supporters.

Who we are
Each year Sinfonia Smith Square selects 34 outstanding young players from around the world to form an orchestra, and curates an intensive programme of professional development activity based at our iconic home in Westminster.
Sinfonia Smith Square is a charitable company registered in England and Wales no.1092461, company no. 04335616.
Sinfonia Smith Square is the parent charity of the subsidiary charity Sinfonia Smith Square Hall which owns the venue, and trading subsidiary Sinfonia Smith Square Ventures Ltd, which manages the commercial activity in the venue on behalf of the parent charity.
Information collection
We collect various types of information, and in a number of ways:
- Information you give us For example, when you register on our website, buy tickets, or make a donation, we’ll store personal information you give us such as your name, email address, postal address, telephone number and card details. We will also store a record of your purchases and donations.
- Information about your interactions with us For example, when you visit our website, we collect information about how you interact with our content. When we send you a mailing we store a record of this, and in the case of emails we keep a record of which ones you have opened and which links you have clicked on.
- Information from third parties We occasionally receive information about you from third parties. For example, we may use third party research companies to provide general information about you, compiled using publicly available data.
- Sensitive personal data known as special category data Data Protection Law recognises that certain categories of personal information are more sensitive such as health information, race, religious beliefs and political opinions. We do not usually collect this type of information about our customers unless there is a clear reason for doing so (and is collected with explicit consent). For example, we may sometimes collect information relating to your health such as in relation to accessibility requirements; requests to be accompanied by an assistance companion, or ask for information to help us benchmark and improve Diversity, Equality and Inclusion aims.
Legal basis

- Contract purposes When you make a purchase from us or make a donation to us, you are entering into a contract with us. In order to perform this contract we need to process and store your data. For example we may need to contact you by email or telephone in the case of cancellation of a cocnert, or in the case of problems with your payment.
- Legitimate business interests In certain situations we collect and process your personal information for purposes that are in our legitimate organisational interests. However, we only do this if there is no overriding prejudice to you by using your personal information in this way. We describe below all situations where we may use this basis for processing.
- With your explicit consent For any situations where the two bases above are not appropriate, we will instead ask for your explicit consent before using your personal information in that specific situation.
Marketing communications
We aim to communicate with you about the work that we do in ways that you find relevant, timely and respectful. To do this we use data that we have stored about you, such as what events you have booked for in the past, as well as any preferences you may have told us about.
We use our legitimate organisational interest as the legal basis for communications by post and email. Once you’ve registered on our website, you can visit the My Account section to choose whether you would like to receive marketing communications from Sinfonia Smith Square by email and/or post. Once you have an account, you can manage your preferences at any time. We will not contact you for marketing purposes unless one of these boxes is ticked. We will include opt-out instructions in any marketing or fundraising communications you receive from us. or you can alternatively contact the Box Office on 0207 222 1061 or email boxoffice@sinfoniasmithsquare.org.uk .
If you have opted out of marketing communications, we may still get in touch with you for non-marketing/customer-relations purposes.
We do not sell personal details to third parties for any purpose. We will only share personal details for the purposes of marketing if you have given explicit consent for us to do this. But if we run an event in partnership with another named organisation, your details may need to be shared in order that they can help us run the event.
Other processing activities
In addition to marketing communications, we also process personal information in the following ways that are within our legitimate organisational interests:
- We may analyse data we hold about you to ensure that the content and timing of communications that we send you are as relevant to you as possible.
- We may analyse data we hold about you in order to identify and prevent fraud.
- In order to improve our website, we may analyse information about how you use it and the content and ads that you interact with.
- We may use profiling techniques or third-party wealth screening and insight companies to provide us with information about you that will help us to communicate in a relevant way with you, in particular when we are approaching you about potential philanthropic support. Such information is compiled using publicly available data about you.

Third parties
There are certain circumstances under which we may disclose your personal information to third parties. These are as follows:
- To the subsidiaries described above when so that they can provide you with products or services that you’ve requested.
- To our own service providers who process data on our behalf and on our instructions (for example our ticketing system software provider). In these cases, we require that these third parties comply strictly with our instructions and with data protection laws, for example around security of personal data.
- Where we are under a duty to disclose your personal information in order to comply with any legal obligation (for example to government bodies and law enforcement agencies).
- To specific named visiting companies whose performances you have attended. In these cases we will always ask for your explicit consent before doing so.

Your debit and credit card information
If you use your credit or debit card to purchase from us or to make a donation, we will ensure that this is carried out securely and in accordance with the Payment Card Industry Data Security Standard (PCI-DSS).
We optionally allow you to store your card details for use in a future transaction. This is carried out in compliance with PCI-DSS and in a way where none of our staff members can see your full card number. We never store your 3 or 4-digit security code.

We will only retain your personal data for as long as necessary to fulfil the purposes for which we collected it, including to satisfy any legal, accounting, or reporting requirements. We store your data for an extended period so that any subsequent purchases you make can be linked back to a single unique record that we hold for you on our system.
